Withdrawal from a Course

Statement of Policy

Prior to and during the first 19 calendar* days of the beginning of the term, students may withdraw from a course with no record of the course appearing on their status report or transcript.

To cancel or withdraw from a course, students can drop/add/withdraw online (login required). Students can also email their drop/add/withdraw request to register@excelsior.edu  An emailed request must include the student's full name, student ID number, course title, and term information.

After the first 19 calendar* days have elapsed, students may withdraw from a course and will be assigned a grade of W which will appear on their status report and transcript. Students will have until 7 calendar days prior to the end of the course to request a withdrawal (W grade) or an Incomplete (I grade). See the Course Extensions policy for information on how to request an Incomplete (I grade).

Students who do not expect to successfully complete the course and have not requested a withdrawal (W grade) or an Incomplete (I grade), will be assigned a grade of F.

To request a withdrawal from a course, students may send an email to register@excelsior.edu or log in to MyExcelsior and withdraw or cancel online.

Undergraduate students may withdraw from the same Excelsior College course for a maximum of three times. After the third withdrawal, the student is not allowed to register for the course without seeking permission from an academic advisor.

An undergraduate student may receive a maximum of six W grades in Excelsior College courses. After six W grades, the student would not have the option of withdrawing from a course. The student would receive the grade appropriate for the amount of work completed and the level of achievement for that work.

Graduate students are allowed to accumulate a maximum of four W/AW (not including MW) grades in Excelsior College courses. After four W/AW grades, the student will not be allowed the option to withdraw from a course. The student will receive the grade earned for the amount of work completed and the level of achievement for that work. In addition, graduate students who receive any combination of one F and/or two W/AW grades (exemption for MW-Military Withdrawal grade) will be blocked from registering for Excelsior College courses without advisor intervention.

*GoArmyED (CTAM) students have 15 calendar days to cancel a course without academic or financial penalty.  GoArmyEd students must cancel a course at GoArmyEd.com.

Refunds and Financial Liability

Undergraduate and Graduate Course Refunds for Non-Military Students
Note: No refund will be granted to the student who has taken any quizzes or the final examination for INL 102: Information Literacy.

100% refund prior to the start of the course minus a $50 processing fee
80% refund up to 7 calendar days minus a $50 processing fee
60% refund up to 14 calendar days minus a $50 processing fee
40% refund up to 19 calendar days minus a $50 processing fee
No refund after 19 calendar days

Undergraduate and Graduate Course Liability/Refunds for Military Students

Prior to and during the first 19 calendar* days of the beginning of the term, military students may withdraw from a course with no record of the course appearing on their status report or transcript. They will incur no financial liability for the course.

After the first 19 calendar* days have elapsed, military students may withdraw from a course and will be assigned a grade of W. At that time, they will incur full liability for the course.

Military students will have until 7 calendar days prior to the end of the course to request a withdrawal (W grade) or an Incomplete (I grade). See Course Extensions for information on how to request an Incomplete (I grade). Military students who have been approved under the Excelsior College Military Deployment policy and wish to withdraw from a course 19 calendar days after the course start date will be assigned a grade of MW (military withdrawal). A grade of MW is treated like a W grade, and will appear on the status report and transcript.

Note to GoArmyEd students: Active Duty Army, Active Duty Army National Guard, and Reserve personnel with courses funded through GoArmyEd/Army who want to cancel or withdraw from a course must formally process this request online through GoArmyEd.com and cannot request to cancel or withdraw from a course using either Excelsior's online process or by email to Excelsior.
