Excelsior College Provides Benefit to Deployed Military Personnel
Excelsior College recognizes the hardships military personnel and their families face. The College acknowledges that military students who are deployed away from their homes or permanent duty stations may experience difficulties with completing their degree requirements and/or distance learning courses. Excelsior encourages servicemembers to continue with their education and will be flexible and responsive to their needs. In support of deployed forces, the College has adopted the following deployment policies:
Military students who have enrolled in a degree program, under the Excelsior College Course Option for Military or Multi-source Option for Military, will have their degree status held from the point of deployment until their return without penalty or fees for any deployment (temporary duty) spanning 60 consecutive days or more in duration. The College will suspend payment due dates for the Enrollment Fee and the Student Service Annual Fee from servicemembers who are enrolled at the College while they are deployed in support of military actions/obligations, and who are unable to work on their degree.
Active duty personnel who have been deployed from their normal duty stations and National Guard and Reserve personnel called to federal active duty will have their degree enrollment extended to the amount of time they served in support of these operations.
Students who qualify for this payment deferral and extension of degree enrollment, should notify the College, prior to their deployment (or as soon as possible upon their return) by sending either a copy of their deployment orders or a "signed" verification letter from their Education Service Officer or Commanding Officer certifying the length of deployment (temporary duty).
Send a copy of the deployment (temporary duty) orders or verification letter to:
7 Columbia Circle
Albany, NY 12203-5159
Course Extensions Due to Deployment
Military students currently registered for one or more distance learning courses, online and/or CD-ROM, can be granted extensions for the number of days deployed up to a maximum of 120 days if all of the following occur:
The deployment (temporary duty) is at least 30 consecutive days or more in duration.
The student must request the course (s) extension two weeks prior to the term end date.
The student must submit either a copy of the deployment orders or a signed verification letter from his/her Education Service Officer or Commanding Officer certifying the length of deployment two weeks prior to the term end date.
A copy of the deployment (temporary duty) orders or verification letter should be sent to:
7 Columbia Circle
Albany, NY 12203-5159
Military Withdrawal from Courses Due to Deployment
If a military student's deployment (temporary duty) exceeds this 120-day extension period, they should submit a copy of their deployment orders to the Ombudsperson's Office and request a Military Withdrawal from the course(s). A Military Withdrawal allows a student to receive a MW grade, instead of an F grade, but does not relieve them of financial responsibility. Students should contact their military education center directly to pursue a possible waiver of their tuition assistance liability.
If the student is unable to submit a copy of the deployment orders two weeks prior to the term end date, they can submit a copy their deployment orders for consideration of a MW grade upon return from deployment.
If the student is in the midst of a course and cannot complete it due to a deployment or other military obligation, and does not wish to request a deployment extension, they can request a Military Withdrawal. The student should submit a copy of their deployment orders or a statement from their command on official letterhead which says they could not complete their course due to their military obligation. This documentation should be submitted to the Ombudsperson's Office. If the Military Withdrawal is approved, the student would then be instructed to request a possible waiver of their tuition assistance liability from the military.
The grade of MW indicates withdrawal without academic penalty from an Excelsior College undergraduate course. It is not calculated in the overall and Excelsior College GPAs, but will appear on a student's undergraduate status report and transcript. Refer to Withdrawal from a Course for details.
Note: All approved course(s) extensions do not incur academic penalty or fees.
